We are seeking a dynamic individual to join our client's team as an Event Manager. This role involves meticulous organization and seamless execution of corporate day meetings with accommodation needs ranging from zero to 9 guest rooms. As an Event Manager, you will be the primary point of contact between our hotel operations team and our esteemed clients, ensuring their events run smoothly and successfully.



Key Responsibilities:



  • Promptly respond to phone and electronic inquiries related to day meetings.

  • Ensure all bookings align with hotel standards and capacities.

  • Conduct on-site visits and manage spontaneous walk-in inquiries.

  • Generate contracts, manage account files, and process business correspondence efficiently.

  • Stay updated on market trends, competitor strengths, and market demands to strategize sales effectively.

  • Collaborate with clients to detail event specifics including catering, setup, audio-visual requirements, and billing.

  • Oversee room blocks, manage VIP accommodations, and educate clients on potential attrition charges.

  • Coordinate with hotel departments to meet client needs and expectations.

  • Arrange off-site activities, restaurant reservations, and additional amenities for groups.

  • Maintain consistent communication with clients throughout events to ensure satisfaction.

  • Ensure accurate billing and review final invoices.

  • Extend gratitude through thoughtful thank-you notes.

  • Perform additional tasks as delegated by the Sales Director.



Administrative Duties:



  • Attend and actively participate in weekly team meetings.

  • Assist in organizing holiday events, Grand Tastings, and other hotel functions.

  • Provide office support and coverage during team members' absences.

  • Oversee program administration duties, including menu updates and pricing adjustments.

  • Create and update diagrams as required.



Qualifications:



  • Previous experience in event management or hospitality preferred.

  • Strong organizational, communication, and interpersonal skills.

  • Proficiency in Microsoft Office Suite.

  • Ability to work flexible hours, including evenings and weekends, as required.
