Are you ready for an exciting career as a Workflow Coordinator in our Warsaw office?



Job Overview:

In your role as Workflow Coordinator, you will support the work of the Presentation Studio while building connections and relationships with our clients. You will provide seamless access to DTP services globally and take the lead in communicating and partnering with our clients.

As the first point of contact for clients, you will manage requests for Presentation Studio designers, liaise with clients on more detailed briefings and help clients engage with other parts of DTP (Design, Video, Training etc.) when necessary. By fostering relationships with our clients, you will manage their ever-changing needs and promote our products, services, and values effectively.

As a workflow coordinator you will connect the team's creative talents with the business by working closely with Presentation Studio Managers to identify suitable individuals or teams to work on specific tasks or projects and you will work together to ensure global priorities are considered and a consistent message is communicated.



Key Responsibilities:
Organisation and Scheduling

Managing Inbox and responding to requests in efficient, pro-active, and solution-oriented mindset.

Spotting priority requests and assure appropriate service level.

Assigning tasks to suitable staff an updating them according to the changes happening during the day

Monitoring requests in global waitlist and prioritizing them accordingly.

Collaborating with the global Coordination team to ensure smooth and effective coordination, taking active participation in global coordination meetings, suggesting new solutions and improvements of the processes.

Client relationships

Supporting stakeholders in solving problems and effectively interpreting instructions to offer appropriate solutions to their requests. Adapting solutions to changing needs of a project.

Understanding the importance and incorporating in daily work behaviours that exhibit positive stakeholder engagement.

Taking preliminary project briefs, if needed.

Connecting clients with relevant DTP talent and services

Setting the standard for customer service and building rapport with Clients

Communicating DTP roles and responsibilities to the business (promoting DTP)

Team relationships

Assisting team members in solving issues with work prioritization, scheduling and providing guidance on Workflow processes

Recognizing skill gaps and providing feedback about designers and coordinators performance to Presentation Studio Manager

Communicating best practice in workflow and scheduling to the local and global team.

Setting process and communication standards globally

Assisting the team with prioritizing their work where needed



Experience Required:


At least 2 years of experience in project management, scheduling and staffing multiple projects and juggling changing priorities in a fast, deadline driven environment.

Previous experience in Shared Service centre, in similar department will be a plus.

Experience in collaborating with multiple stakeholders.



Technical Skills:


Knowledge of MS Office suite, especially Power Point, Word, Excel, Outlook, and Teams

Basic presentation design skills

Knowledge of Adobe Creative Suite will be a plus.



Skills and Attributes:


Detail-oriented with strong organizational & prioritization abilities.

Excellent communication skills in English (written and spoken).

Strong customer service, and interpersonal skills to effectively collaborate with stakeholders at all levels.

Excellent problem-solving and analytical abilities to troubleshoot issues within our processes and drive improvements.

Ability to manage client relationships, anticipating needs, and providing proactive support.

Team player. Ability to work collaboratively with multiple stakeholders.
