The Accounting Specialist is responsible for preparing the agency payroll in an accurate and timely manner. The ability to maintain confidentiality and attention to detail in all aspects of the job is essential. This position responds to requests for wage and payroll information from employees as well as outside entities

Key responsibilities include:

  • Preparing agency payroll in a timely and accurate manner.
  • Verify pay information (production sheets, timecards, electronic time reports, etc.) and other payroll related documentation.
  • In coordination with payroll vendor, make timely deposits for employee benefits such as 401k, Health Savings Accounts, and Flexible Spending Accounts.
  • Prepare payroll related audit schedules for annual financial and DEED audits as directed.
  • Responsible for reconciliation of all payroll related general ledger accounts as well as responsibility for the General Bank Reconciliation.
  • Responsible for updating the fixed assets and depreciation schedules along with prepaid expenses, mobile work crew, and month end sales entries.
  • Monitor, verify, and post accounts payable invoices for the agency
  • Prepare checks for payment of accounts payable on an as needed basis, at minimum - weekly.
  • Monitor aging accounts payable and work to resolve any outstanding or disputed invoices.
  • (link removed) vendor inquiries and complete tax exempt paperwork for vendors.
  • Ensure month end closing in a timely manner including review of all month end reports for accuracy prior to closing.
  • Prepare and file 1099 forms for all accounts that meet the reporting criteria.

Requirements

The ideal candidate will have two to 5 years of experience preparing payroll and other general accounting functions. Experience working with ADP to process payroll is a plus! Accurate record keeping skills and demonstrated ability to work with spreadsheets and perform data entry is required.

All candidates must pass a Department of Human Services background check and a criminal background check.

This is a full time position. The starting wage is $23 - $25 per hour depending on previous experience.
