POSITION TITLE: Accounting Specialist

REPORTS TO (TITLE): Accountant

DESCRIPTION OF POSITION:

Responsible for preparing payrolls, accounts payable and other accounting records.

KEY RESPONSIBILITIES:

  • Assists the Chief Financial Officer with updating and maintaining contracts.
  • Assists in the creation, review and audit of general ledger accounts, expenses and other related reports as needed.
  • Reviews payroll time cards daily for accuracy and works with department leaders to correct them.
  • Prepares payroll from time cards on a bi-weekly basis including clerical work to compute or assure computerized computation of earnings, deductions and benefits payments for employees in order to generate paychecks.
  • Reviews time cards, tab runs and paychecks for accuracy and ensures timely distribution of checks and reports.
  • May verify and process additions to and deletions from payroll.
  • Generates final paychecks for terminations.
  • Run necessary payroll reports.
  • Notify various department supervisors of any missed time clock punches for their staff.
  • Handles routine payroll questions.
  • May maintain records of sick leave, vacation and other benefits accrued by employees.
  • Process invoices for Accounts Payable including review of invoices for appropriate documentation and approval prior to payment.
  • Posts checks, balances, and adjust accounts.
  • Maintains all accounts payable reports, spreadsheets and accounts payable files.
  • Performs related duties, as requested.
  • Upholds the Organization's ethics and customer service standards.

Requirements

Knowledge and Experience:

  • High School diploma or equivalent required. Bachelors degree preferred.
  • 2 years healthcare experience in accounting and/or payroll highly desired.
  • General knowledge of Federal and State employment and wage laws.
  • ADP Payroll system and Doc Link experience helpful.
  • Experience with managing complex and detailed records.
  • Health care industry preferred.

Skills and Abilities:

  • Maintains confidentiality of patients at all times
  • Sensitivity to and willingness to interact with persons of various social, cultural, economic and educational backgrounds.
  • Strong Proficiency with Microsoft Excel.
  • Must have strict attention to detail.
  • Proficiency with software and/or equipment (Microsoft Office applications including Outlook, Word, and PowerPoint.)
  • Strong organizational skills with ability to remain focused, prioritize projects, work relatively independently, manage multiple tasks, and meet deadlines.
  • Strong written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Good judgment, problem solving and decision-making skills.
  • Demonstrated commitment to working collaboratively as well as possessing the skills to lead, influence, and motivate others.
  • Ability to work in a fast-paced, expanding organization.

Physical Requirements:

While performing the duties of this job, this position is frequently required to do the following:

  • Use standard office equipment and access, input, and retrieve information from a computer. Use computer keyboard with manual and finger dexterity and wrist-finger speed sufficient to perform repetitive actions efficiently for extended periods of time.
  • Communicate effectively in person or via telephone in a manner which can be understood by those with whom the person is speaking, including a diverse population.
  • Give and follow verbal and written instructions with attention to detail and accuracy.
  • Perform complex mental functions and basic arithmetic functions; interpret complex laws, regulations, and policies; collect, interpret, and/or analyze complex data and information.
  • Vision: see details of objects at close range.
  • Coordinate multiple tasks simultaneously.
  • Reach forward, up, down, and to the side.
  • Sit or stand for minimum periods of one hour at a time and come and go from the work area repeatedly throughout the day.
  • Lift up to five (5) pounds.
