WHY JOIN OUR TEAM:

We are looking to hire a Grant Operations Coordinator to provide support for the Innovation Institutes portfolio of grants. This position will work in conjunction with Finance and Project personnel to support and help drive grant funded investments to completion. You will be engaged with all aspects of grant contract implementation, including finance, operations, and project administration. These activities primarily consist of contract management, budget monitoring, and invoice review, and project scope evaluation. The Innovation Institute currently operates on a hybrid work schedule and following successful on-site training (Westborough, MA), youll be working from home up to 3 days per week.

SUMMARY OF THE POSITION:

This position will have primary responsibility for tracking the Innovation Institutes entire grant portfolio on an ongoing basis across multiple programs. This will include invoicing & deliverables as well as the tracking of budgets, key milestones and the aggregation of metrics. This will be accomplished through the monitoring of reports, development and updating of trackers and the establishment of good working relationships with grantees and colleagues.

Success in these responsibilities will be enabled through familiarity with Innovation Institute programs, procurement and financial assistance policies and compliance requirements. This position will be relied upon to identify issues as or before they arise and resolve them by working collaboratively with project managers and/or grantees/consultants, as well as other parts of the organization as needed, including Finance, Legal, and senior management.

This position represents a growth opportunity. As day-to-day grant operations are mastered the Grants Operation Coordinator will have the opportunity to expand involvement in the development and implementation of projects, solicitations and initiatives.

RESPONSIBILITIES

  • Creating and maintaining grant files that meet legal, auditing and MassTech requirements;
  • Scheduling of reporting requirements and invoicing schedules for new grants;
  • Provide project planning, coordination, communication and execution support with special emphasis on problem identification and resolution;
  • Maintenance of multi-year invoicing and budgeting schedules and grant balance monitoring;
  • Providing summary reports and responses to inquiries as requested;
  • Communicating externally with grant partners and applicants as directed;
  • Identify and work closely with staff team to implement process improvements with respect to the entire grant making cycle; inquiries, applications, reporting, invoicing, and assessment and identify new skills to learn in support of this work
  • Provide direct accountability for the quality of all materials used in presentations or distributed in external settings.
  • Work with other departments within MassTech, such as Legal, Accounting, Human Resources, Communications, and the Business Office in order to properly process compliance documents.

In addition to the primary role of grant administration, the Grant Operations Coordinator will periodically be requested to undertake tasks that may include:

  • Contributing to the development of various program investments, assisting in the ongoing development of the programs and working with the Innovation Institute team to identify potential applicants and target industry clusters for intervention;
  • Capturing and synthesizing the findings from stakeholder dialogues/meetings;
  • Drafting correspondence, memorandums, project/policy briefs and other key work products;
  • Assisting the Innovation Institute with the execution of high-priority/time sensitive work products, within the division in a timely manner as they arise;
  • Assuming comprehensive responsibility for all details and logistics associated for project-relevant meetings, events and related communications as assigned;
  • On an as needed/as requested basis, summarize individual programs, initiatives or projects;
  • Research and Analysis - collecting, analyzing and presenting data from proprietary and public, r sources in support of the development and dissemination of publications and that relate to supporting growth in the Innovation Economy

Requirements

1. Education

  • Associates Degree from an accredited college or university in business administration, public administration, or related field.

2. Experience

  • One to three years of work experience involving grant writing, grant management, project administration or business operation support.

3. Knowledge, Skills and Abilities

  • Experience in grants administration and/or public procurement process;
  • Experience using Microsoft Office (Excel, Word, Outlook, Powerpoint);
  • Excellent project coordination and organization skills;
  • Detail oriented and solid critical thinking with ability to problem solve;
  • Ability to read and understand contracts, policies, rules, and extract the information needed to ensure compliance;
  • Demonstrated ability to get up to speed quickly and manage multiple priorities effectively;
  • Demonstrated ability to work collaboratively in a team environment involving co-workers, funders, grantees, and other stakeholders;
  • Demonstrated ability to work with and develop spreadsheets and databases to track and manage project information;
  • Working knowledge of basic accounting and payment processing (budgets, invoices, etc.) preferred.

In addition to those listed above one key to success in this position will be the ability to write effectively, this includes the ability to:

  • Carry out research on topics assigned.
  • Create and disseminate content in form of email, briefings, or other various forms of documentation based on the data collected from their research.
  • Read project materials and use them to develop content for assignments.
  • Convert the information theyve acquired into readable, easy-to-understand content tailored to various audiences.
  • Revise their work based on editorial feedback.
